Disabling Workflow Substitutions (as Admin)
Steps:
1. Navigate to Workflow Substitution in the main or quick launch menu.
2. Select the user(s) whose substitutions you wish to disable.
3. Click Disable.
You'll see options to:
Clear dates (default): clears all substitution date ranges, making the substitution inactive.
Optionally use Revoke Pending to remove any pending authorisation tasks from the substitute:
Before Date From: revokes pending tasks before the substitution starts.
All: revokes all pending tasks regardless of dates.
Click Apply to confirm changes.
Disabling “My Substitutions” (as a user)
If you’ve set up your own substitutes but need to disable them (for example, if you're back from leave):
1. Go to My Substitution via the main menu or quick launch.
2. Select the workflow(s) you want to disable substitution for.
3. Click Disable.
Choose from:
Clear dates to simply turn off the substitution.
Revoke Pending with the same options as above.
Click Submit to save your changes.
Admin Overrides: Centrally Enabling or Disabling Substitutions
Administrators have additional control and can centrally manage user substitutions — especially helpful if someone forgets to disable theirs:
Admins can enable or disable substitutions centrally for any user, providing a safety net for planned or unexpected absences.
