This article explains how Purchase Ledger invoices and fixed assets relate to each other in the iplicit Fixed Assets module. It covers how many invoices can link to one asset, how one invoice can create multiple assets, and what to do if you need to adjust a purchase value before capitalisation.
Can I link multiple invoices to one fixed asset in iplicit?
No. In iplicit's Fixed Assets module, each asset is created from a single line item on a single invoice. It is not possible to combine or group multiple invoices into one asset.
The relationship works in one direction only: one invoice line item creates one asset.
Can one invoice create multiple fixed assets?
Yes. A single Purchase Ledger invoice can create multiple fixed assets - one asset per line item. If an invoice has four line items, each line can be capitalised into its own separate asset.
Whether a line item is proposed as a capitalisation candidate depends on your capitalisation rules. Rules evaluate each line against criteria such as a specific nominal account (COA code) or product. If no matching capitalisation rule exists for a line item, it will not appear as available to capitalise. For more detail on how rules work, see How asset capitalisation rules work in iplicit.
Can I retroactively link an invoice to an existing asset?
No. Once an asset exists in iplicit, it is not possible to link a Purchase Ledger invoice to it retrospectively. The invoice-to-asset relationship is established at the point of capitalisation.
Can I edit the purchase value of an asset before capitalisation?
Yes. You can edit the purchase value of an asset manually before it has been submitted and capitalised. Once the asset has been submitted and capitalised, the purchase value is locked.
