Why can't I set up the deferred income automation in the Sales Ledger?

This article covers why the deferred income automation setup screen in iplicit is empty or the document type fields won't populate. Three things must be in place before the automation can be created successfully: the correct user permissions, an unlocked deferred income document type with a document series assigned, and the deferred income document type set in Environment Defaults.

Check one - User permissions

The user setting up the automation needs the following permissions assigned:

• Deferred Income: Entry
• Deferred Income: Read Only
• The relevant automations permission

Without these the automation setup screen will appear blank or the document type fields will not populate. Ask your system administrator to add these to the relevant user account before attempting setup again.

Check two - Unlock the deferred income document type

The 'Deferred Income' document type must be unlocked in Settings > Document Types and have a document series assigned. Without a document series iplicit cannot assign a reference number to generated deferred income documents.

Also confirm the 'Deferred' setting is enabled on each sales invoice document type you want deferred income to apply to.

Check three - Set the deferred income document in Environment Defaults

Navigate to Environment Defaults > Sales. Select the 'Deferred Income' document type from the dropdown and save.

Reload your iplicit session after making this change to ensure it takes effect.

Once all three checks are complete

Navigate to Automations and create the deferred income automation following the steps in: How to set up prepayments and deferred income in iplicit.

Note: the 'automatic upon posting' trigger only creates deferred income journals up to and including the invoice post date. Future-dated journals in the schedule are only created when the scheduler runs.
