This article covers how to configure a workflow in iplicit so that documents requiring authorisation are automatically routed to the relevant department manager. This applies to any line-based document type that supports workflow authorisation, such as purchase orders, expenses, or requisitions.
How document authorisation routing works in iplicit
When a document is submitted for authorisation, iplicit workflows determine who receives the approval request. By using the distribution target on a document line, iplicit can identify the correct department manager automatically - no manual routing required.
This approach is line-based, meaning iplicit reads the department assigned to each document line to determine where the authorisation request should go.
Setting up department manager routing in a workflow
- Navigate to 'Authorisation Workflows' and open the relevant workflow, or create a new one.
- Add or edit the authorisation step within the workflow.
- In the 'Send to' field, select 'Department manager (detail)'.
- Save the workflow step.
When a document is submitted, iplicit will route the authorisation request to the department manager associated with the distribution target on the document lines.
Before this will work
For department manager routing to function correctly in iplicit, confirm the following:
- Each department has a manager assigned in your department settings
- Document lines are set to the correct distribution target (department)
- The workflow is active and assigned to the correct document type and legal entity.
If authorisation requests are not routing as expected, check the distribution target on the document lines first - this is the most common cause.
