This article explains how to find out who authorised a document in iplicit. It applies to all document types that use approval workflows, including purchase orders, requisitions, sales invoices, credit notes and journals. There are two ways to view authorisation history - directly on the document itself, or through the Document Log enquiry for a wider view across multiple documents.

Checking who authorised a specific document using the Log tab in iplicit

Every document that passes through an approval workflow in iplicit records its full history on the 'Log' tab. This shows each step the document has been through, including who submitted it, who authorised it, and whether it was rejected at any stage.

To check the authorisation history on a specific document in iplicit:

  1. Open the document you want to check
  2. Select the 'Log' tab
  3. Review the entries - each step in the workflow is listed with the user who performed the action and the date

The Log tab displays the full approval chain for that document, so you can see every workflow step from submission through to final authorisation.

Viewing authorisation history across multiple documents using the Document Log enquiry in iplicit

If you need to review authorisation history across multiple documents rather than checking them one at a time, use the Document Log enquiry. This provides a detailed overview of documents and their associated workflow logs in a single view.

To access the Document Log enquiry in iplicit:

  1. Navigate to the 'Enquiries' screen
  2. Select the 'Document Log' enquiry
  3. Use the available filters to narrow results by document type, date range or other criteria
  4. Review the log entries - each row shows the document, the workflow step, the user and the date

This is useful when you need to audit approvals across a batch of documents or confirm who authorised several transactions within a specific period.
