When emailing documents from iplicit - such as sales invoices, credit notes or statements - the system checks for duplicates within the current day only. If you previously sent the same document on an earlier date, iplicit does not display a duplicate warning when you resend it. How duplicate email detection works in iplicit
iplicit's duplicate detection for emailed documents operates on a daily cycle. The system compares the current send request against emails sent on the same calendar day:
- If the same document was emailed earlier today, iplicit displays a duplicate warning before sending
- If the same document was emailed on a previous day, no warning appears
This behaviour applies to all document types sent via email from iplicit, including sales invoices, purchase orders and statements.
What the duplicate warning looks like
When iplicit detects a same-day duplicate, the warning message displays:
- The word "AUTO"
- The date the document was originally sent
- The ID of the document being resent
This information helps you confirm whether the document has already been dispatched before proceeding.
How to check if a document email was sent
If no duplicate warning appears but you want to verify whether a document was previously emailed, iplicit provides two logs:
- Communication log - shows whether the email was successfully queued for dispatch from iplicit. Navigate to the relevant record and open the 'Communication Log' tab to view the send history
- Email log - shows whether the email was successfully transmitted through the mail server. This confirms delivery to the outbound server, not receipt by the recipient
Check the communication log first to establish whether iplicit processed the send request. Use the email log to confirm the message reached the mail server.
