Access in iplicit is controlled by several separate systems – Data Access Control (DAC), Data Entry Controls (DEC), user roles, and document type locks. This article helps you identify which one is restricting you, so you know whether you can resolve it yourself or need to ask your organisations administrator.

How access works in iplicit

Access restrictions in iplicit come from one of five places. Each behaves differently, and the fix depends on the cause. Work through the sections below to identify which applies.

Cause one – Data Entry Controls have not been updated

Data Entry Controls determine which resources, projects, or departments you can select when creating or editing documents. If a resource, project, or department was recently added but is not yet included in your Data Entry Control settings, it will not appear as an option and you will not be able to access it.

This is the most common cause when a new item has been set up but users report it is missing from dropdowns.

Your organisations administrator can update Data Entry Controls to include the new item.

Cause two – a required user role is missing

User roles in iplicit grant permission to perform specific actions and access specific features. If a user role required to access a feature has not been added to your account or user group, the feature will be hidden or restricted.

This commonly occurs when iplicit releases a new feature that requires an updated or additional role, or when a user has been set up without the full set of roles their job requires.

Your organisations administrator can assign the correct user role to your account or user group.

Cause three – access has been limited for business reasons

Some access restrictions are applied deliberately for business reasons, such as GDPR compliance, segregation of duties, or internal policy. In these cases the restriction is working as intended.

If you believe you need access for a legitimate business reason, contact your organisations administrator or line manager to request a review.

Cause four – the document type is locked

Document types in iplicit can appear locked if they have not been used before. A locked document type will not show in filters or selection screens by default.

If you have access to document types, select the green dot next to the filter on the screen to expose any locked documents to check if an existing version of the required document type exists. Once unlocked and used, the document type will remain available.

Cause five – Data Access Control is restricting the record

Data Access Control (DAC) restricts which legal entities, records, or data segments a user can see, regardless of their user role. If DAC is configured to exclude a legal entity or record from your access, you will not see it even if you have the correct user role.

This is typical in multi-entity environments where users are intentionally scoped to specific entities.

Your organisations administrator can review your DAC settings and adjust them if required.
