This article covers allocations on an individual document, such as an invoice. An allocation is anything that has been applied to a document - a payment, a receipt or a credit note. This article explains how to view what's been allocated to a document and how to reallocate, remove or adjust those allocations.


Viewing allocations on a document

Open the document you want to check, for example an invoice, and select the 'Allocations' tab. This shows everything currently applied to that document, such as credit notes and payments.

For example, an invoice for five thousand pounds might show a credit note for five hundred pounds and a payment for one thousand pounds allocated against it, leaving three thousand five hundred pounds outstanding. The 'Allocations' tab always reflects what's currently applied, so the outstanding balance updates automatically as allocations change.


Reallocating an item on a document

To manage or update an allocation on a document:

  1. Open the document and select the ellipsis button
  2. Select 'Reallocate'.

From here, you can remove an allocation completely or adjust its amount.


Removing an allocation

To unallocate an item completely, select it in the reallocate screen, then select 'Remove'. This takes the payment, receipt or credit note off the document entirely, and the outstanding balance recalculates to include it again.


Adjusting an allocation amount

To change how much of a payment, receipt or credit note is applied to the document, select the item, update the amount, then select 'Apply'. For example, if one thousand pounds was allocated but only five hundred pounds should have been, change the value to five hundred and apply it.
